Schedule: the day's sections

Build the days out of sections, hand a section to a sub-producer and share the schedule with your team through a view link.

The schedule is the producer's tool for building the whole day. A day is made of sections, for example on Tuesday Seminar 12–16, Afterwork 16–18 and Gig 20–23. Each section is a block of its own in the run sheet, holding its detailed programme: presentations, speakers, hosting and changeovers.

Sections

  1. Open the Aikataulu (schedule) tab and choose + Lisää osio (add a section) under the day.
  2. Give a name and the start and end time (e.g. 12.00 and 16.00) and choose Lisää osio. The section goes into the day in time order.
  3. Change the name, day or time under Muokkaa osiota (edit section). The section's rows move with it.
  • A section can be up to 12 hours. If it ends after midnight, type e.g. 1.00 as the end.
  • Under a section you see its presentations with their speakers and state, and how many have arrived. They are edited in the run sheet: Ajolista → opens the section.
  • Pinned presentation rows of the run sheet whose time falls in a new section's slot move into it. Rows already in a section stay there even if its time changes. If they end up outside the slot, the section shows a warning.
  • A section can be deleted when its run sheet is empty.

Who fills a section

Without a sub-producer, the producer and the technical partner make the section's run sheet. When you hand a section to a sub-producer, for example the seminar's organiser, they make its run sheet, add the speakers and send them their invitations with upload links.

  1. Open Alituottajat (sub-producers) on the section, type the sub-producer's email and choose Lisää (add).
  2. The sub-producer gets an invitation by email at once, with the section's time and a link. To tell them yourself, untick Lähetä kutsu (send invitation) before adding. The invitation can be sent again, and Kopioi ohje alituottajalle (copy instructions) gives the same instructions to send yourself.
  • The sub-producer signs in with a link emailed to them, no account needed.
  • They see only their own sections: those rows and speakers with their email addresses. They don't see the rest of the run sheet, the speakers' upload links or the organiser pages.
  • Rows must fit in the section's slot. A sub-producer's change that would go outside it is not saved.

View links for the team

At the bottom of the page, under Tiimin katselulinkit (team view links), you can create a link for, say, communications or the stage crew. It shows the days with their sections, the presentations, speakers' names and the presentations' state without an account. It shows no email addresses or speakers' upload links, and nothing can be edited with it. The page refreshes every 20 seconds. Peru (revoke) stops the link at once.
