What Deckhandoff is and how to set up an event.
- What is Deckhandoff?Speakers deliver their presentations through a personal link, and everyone can see which version arrived.

Schedule and speakers
Schedule import, invitations, links and reminders.
- Importing the schedule from Google Sheets or ExcelSessions and speakers come from a sheet. The preview shows the changes before anything is saved.
- Column mappingWhen the sheet's headers are something else, tell which column is which. The choice is remembered.
- Schedule changesMoves, title changes and removed speakers. Links and uploads are kept.
- Invitations and linksEach speaker gets an invitation in their language with a personal upload link.
- Renewing a speaker's linkIf a link ends up in the wrong hands, the old link stops working at once.
- RemindersRemind speakers of a missing presentation, a version to fix or the sound question.
- Uploading on a speaker's behalfWhen a presentation still arrives by email, upload it from the session page. The speaker gets the same confirmation.
For speakers
Uploading, the confirmation and help for every check.
- Uploading your presentationOpen the link from your invitation, drop your files on the page and wait for the confirmation.
- Confirmation and deliverySee which version arrived and where it is: received, checked, with the tech team and ready on the stage computer.
- Several sessions with one linkThe same link works for all your sessions. Upload each session's presentation separately.
- Your own computerIf you can't deliver the file in advance, say you'll bring your own computer and its video output.
- Does your presentation need sound?Tell us whether sound is needed, and the technical team connects it to the venue speakers.
- PDF backupUpload a PDF of the same presentation next to the PowerPoint if fonts or videos could cause problems.
- Technical guidelines for your presentationEverything your presentation needs to work on stage. Read this before you finish your slides; it takes five minutes and saves surprises at the venue.
- Export a Keynote presentationThe venue computers can't open Keynote files. Export to PowerPoint or PDF.
- Save an old .ppt as .pptxOld .ppt files are not accepted. Save the presentation as .pptx.
- The file can't be openedThe file is damaged or not what its name says. Save or export it again.
- Change the slides to 16:9The screen at the venue is 16:9. Other slide sizes show black bars.
- Embed fonts or add a PDFFonts that aren't on the venue computers are replaced, and text can move.
- Insert the video into the presentationThe video is linked to a file on your computer, so it won't play at the venue.
- Avoid videos that play from the internetThe venue network can be unreliable. Embed the video in the presentation if you can.
- Convert the video to MP4 (H.264)Some video formats play on Mac but not on Windows, or the other way round.
- Make a large file smallerLarge files are accepted, but take longer to upload and copy.
For technical partners
Change view, manifest, day lock and file names.
- Partner viewWhat has changed since the last fetch: late changes, new and updated.
- Loaded on the presentation computerConfirm a file is on the presentation computer with one button. The speaker sees it.
- ManifestA Google Sheet with every delivered file and its details. Updates itself.
- Day lock and late changesVersions after the lock are marked late, and the partner gets a message about them right away.
- File names and foldersFiles are named with the event's pattern and organised into day folders.

What data is processed, where and for how long.
Troubleshooting
When something doesn't go as it should.
- A speaker didn't get the invitationCheck the spam folder and the email address, then send the invitation again or copy the link.
- The link is not validThe link has been renewed or revoked. Ask the organiser for a new one.
- The upload was interruptedChoose the same files again in the same browser and the upload continues where it stopped.
- A version was rejectedA rejected version doesn't replace the previous one. Fix the problem as instructed and upload again.
- Delivery failedThe file couldn't be moved to Drive. The fault is in the system, and the organiser is notified.
